Vendor Applications: From Booth Request to Paid Invoice

Vendors apply online and pick from your booth and product catalog. You approve, send a Stripe invoice, and Platz marks it paid when the vendor pays.

Managing vendors at a market or fair used to mean spreadsheets, email threads, and chasing down booth fees. Platz turns it into one flow: vendors apply, you approve, they pay an invoice, and you can see where every application stands.

Set up your catalog

In your event’s vendor settings, add what vendors can apply for: booth spaces, power hookups, table rentals, or anything else you charge for. Group them into categories, and for each item set:

  • Price - what the vendor pays for it
  • Capacity - how many you have; when an item is full, vendors can join its waitlist
  • Approval - whether you review each request
  • Availability window - when applications for the item open and close

Vendors apply

Each event has a public application page. Vendors enter their business and contact details, choose items from your catalog, and see an estimated total. They get a confirmation email, and a status page shows where their application stands.

Review and approve

New applications appear under Vendor Applications for the event. Approve or reject each one; the vendor is emailed either way.

Invoice and get paid

When you’re ready to bill an approved vendor, click Invoice. Platz creates a Stripe invoice on your own Stripe account, lists each item by name, and emails the vendor a link to pay online within 14 days.

When the vendor pays, Stripe tells Platz and the application is marked paid automatically, and both you and the vendor get an email. If a vendor pays you another way, mark the application paid yourself.

Why this saves time

Every application has one status - pending review, approved, invoiced or paid - so you never have to dig through email to find who still owes you. Vendors check their own status page instead of asking you, and the money goes straight to your Stripe account.
